Periodicals Processing:
a. Newspapers
|
As
soon as the mail is sorted, the newspapers, especially the popular
local newspapers such as Atlantic City Press, should be processed
and made available for users as soon as possible. |
|
As
of June 2003, we suspended the service of picking up the daily New
York Times and the Philadelphia Inquirer at the College Bookstore. |
|
This
arrangement was not working out to our satisfaction. We are, Unfortunately,
in an area
where the there is no home delivery of the New York Times and Philadelphia
Inquirer |
|
Starting
July 1, 2003, again, we will again rely on mail delivery of these
two newspapers. Though they may be a few days old when we finally
get them, it is still better than no papers. |
|
Check-in
newspapers on DRA serial subsystem. |
|
Make
sure there is no missing issue(s). |
|
Claim
immediately if necessary. |
|
Keep
statistics of issues received. |
|
Immediately
put the newspapers on the display in the reading area of the Periodicals
Room. |
|
Return
the back issues to the "newspaper section" in the back
of the regular shelves by the windows. They are retained according
to their retention schedule or until they are replaced by microfilm. |
b. Printed Journals
|
Remove
wrappers, apply library property stamp on the cover and the content
page of each journal. |
|
Arrange
journals in alphabetical order. |
|
Check-in
the issues on the DRA serial sub-system, making sure the issue date
matches the expected issue. |
|
Note
any discrepancies, such as missing issue, change in title, frequency,
etc. |
|
Put
aside for the Periodicals Librarian for journals that changed title,
frequency or suspended publication. |
|
Put
claims for missing issue(s) immediately. |
|
Insert
book detection security strip in the spine of each issue of journal. |
|
Apply
routing slip on the journals that are to be routed to the librarians,
and route journals. |
|
Record
statistics on the number of issues processed and checked in. |
|
Remove
from display and shelve the previous issue under the tilted display
shelf. |
|
Replace
and display the most current issue that is just processed. |
c. Microforms
|
Check
each title, date(s) and the number of individual fiche against the
shipping/order statement that came with the microforms for accuracy. |
|
Notify
the Periodicals Librarian of any discrepancies so claims can be
made. |
|
Check-in
the microforms on DRA serial subsystem. |
|
For
newspapers, particularly those that are replaced by microforms,
such as the Atlantic City Press, Barron's, Chronicle of Higher Education,
the New York Times, the Wall Street Journal, Washington Post, etc.,
in addition to checking in the microfilms on the microform record,
an extra processing step is required. |
|
Change
the summary holdings for the print record to reflect that the microform
has replaced the back issues. |
|
Discard
the run of paper copies that are replaced by microfilm/fiche for
the newspapers. Do not discard any back issues of print copies even
when they are replaced by microfilm/fiche until further instructions
from the Library Director. |
